What information we collect
We collect personal information in the following ways:
When you contact us — through our contact form or by email, we collect your name, email address, and the contents of your message.
When you book an appointment — through our booking page, we collect your name, email address, and any details you provide about your enquiry. Bookings are managed through Setmore (see "Who we share data with" below).
When you sign up to our newsletter — we collect your name and email address.
When you apply to volunteer or join the team — we collect the information you provide in our volunteer form, which may include your name, contact details, interests, availability, and relevant experience.
When you visit our website — our website provider, Squarespace, uses cookies and collects standard analytics information such as your device type, browser, approximate location, and the pages you visit. See "Cookies" below.
We do not knowingly collect personal information from children under 13 through this website. Where our programmes involve young people, information is collected separately with appropriate consents, not through this website.
Why we collect it and our lawful basis
Under UK data protection law, we must have a lawful basis for using your personal information:
Responding to your enquiries and managing bookings — legitimate interest (responding to a request you have made).
Sending our newsletter — consent. You can withdraw consent at any time using the unsubscribe link in any newsletter or by emailing us.
Processing volunteer applications — legitimate interest, and consent where you provide optional information.
Providing our services to clients — performance of a contract.
Keeping financial records — legal obligation (for example, tax and accounting law).
We will never sell your personal information, and we do not use it for automated decision-making or profiling.
Who we share data with
We share personal information only with the service providers that make our website and organisation run:
Squarespace — hosts our website, contact forms, and newsletter tools.
Setmore — manages our appointment bookings.
Google Workspace — provides our email and document storage.
FreeAgent — our accounting software, used for client invoicing.
These providers process data on our behalf under contracts that require them to protect it. Some are based outside the UK (for example, in the United States); where that is the case, transfers are protected by recognised safeguards such as the UK Extension to the EU–US Data Privacy Framework or International Data Transfer Agreements.
We may also disclose information where required by law.
How long we keep your information
We keep personal information only as long as we need it:
Enquiries and correspondence — up to 2 years after our last contact, unless you become a client.
Newsletter details — until you unsubscribe.
Volunteer applications — up to 12 months if unsuccessful or inactive; for the duration of your involvement plus 12 months if you volunteer with us.
Client and financial records — 6 years, as required by law.
